Operations heavy businesses
Services, logistics, field operations, and back office teams carrying too much manual coordination. We clean up the workflow, connect the systems, and build the reporting leadership is missing.
Workflow, data, automation, and secure systems, connected
MatrixFlow helps organizations improve workflows, clarify ownership, automate repetitive work, and build the software, data, reporting, AI, and secure infrastructure that support day to day operations. We work across operations heavy teams, with a growing focus in healthcare and veterinary care.
How the work connects
A simplified map of what MatrixFlow builds: scattered source systems pulled into one workflow, automated where it helps, and reported back to the people who have to decide.
What MatrixFlow builds
The real problem
Most operational problems are a mix of unclear ownership, inconsistent handoffs, disconnected tools, manual work, limited visibility, and systems that do not match how the team actually operates.
MatrixFlow helps connect the people, process, and technology sides of the business so improvements actually stick. We start with how work really moves through your organization, who owns each step, and where things get stuck, then make the technology support that operating model instead of adding another tool to manage.
That means clarifying ownership and handoffs, tightening escalation paths and reporting, and using the systems of record you already run on, along with automation and AI, in ways that reduce friction rather than create confusion.
Where teams get stuck
Common across operations heavy teams, including clinics, labs, services businesses, and back office groups. We observe how your team works, then design around it.
Who we partner with
MatrixFlow partners with operations heavy organizations that need modern, secure technology without enterprise complexity. We advise, we build, we host, and we manage. Healthcare and veterinary care are where we are building deeper focus, and we take on broader client work where the operational problem fits.
Services, logistics, field operations, and back office teams carrying too much manual coordination. We clean up the workflow, connect the systems, and build the reporting leadership is missing.
Full stack clinical applications, secure portals, reporting pipelines, and the data infrastructure sensitive healthcare and research operations depend on. This is where most of our delivered project work sits today.
Selective clinic technology projects where the scope is clear, covering workflow review, intake and scheduling, client communication, reporting, and the systems behind them.
A growing focus area. We are building Ark, a private beta veterinary practice platform, with practicing veterinarians, and take on focused clinic technology projects where the fit is clear.
How MatrixFlow helps
MatrixFlow works across three connected layers. We can address one of them on its own or bring them together when the problem crosses organizational and technical boundaries.
Clarify roles, decision rights, accountability, communication routines, escalation paths, and the management habits required for improvement to last.
Improve handoffs, documentation, scheduling, intake, approvals, communication, and the day to day use of the systems of record a team already runs on.
Build applications, portals, integrations, data pipelines, reporting, automation, cloud infrastructure, and security controls that reduce manual work and support what the organization actually needs.
Engagements range from focused AI, data, software, infrastructure, security, workflow, or leadership initiatives to broader programs that connect several of those areas.
Meet Ark
Ark is one of the ways MatrixFlow is building deeper focus in veterinary care. It is in private beta and being designed with practicing veterinarians.
Ark is being built with practicing veterinarians to reduce administrative work, make documentation faster, and give the clinic team a clearer view of what needs to happen next.
Current focus areas include AI assisted transcription, SOAP documentation, scheduling, client and patient records, lab workflow foundations, prescription and refill management, boarding, billing, and team handoffs.
Ark is in private beta and under active development, and not yet positioned as a full replacement for every clinic's current PIMS.
Current focus areas in private beta. Depth varies by area and continues to change as clinics use it.
Security & Compliance
Security is not a checklist we run at the end. It is built into how we architect data, scope roles, log access, and segregate sensitive information from day one. For PHI scoped workloads, MatrixFlow designs HIPAA aligned systems with role based access, audit trails, encryption, and BAA covered infrastructure where required.
AES 256 storage, TLS 1.2+ transport, KMS key rotation across all sensitive workloads.
Granular permissions scoped to user, role, and location. No flat access. No shared credentials.
MatrixFlow designs PHI scoped workloads so access, changes, and exports can be tracked and queried, with audit trails retained per the applicable compliance window.
PHI is separated from general PII, and BAA covered infrastructure and approved processors are used when a workload requires PHI handling.
Security Posture
Every system we design assumes someone will eventually review the architecture, query the audit logs, and ask hard questions. That assumption shows up in every build decision.
Case study proof
MatrixFlow helped Theriome turn a complex laboratory operation into one controlled system, from test order and sample collection through analysis, scientific review, and secure delivery of each patient's metabolic health report to the ordering practitioner.
Theriome Case Study
MatrixFlow connected ordering, patient intake, shipment tracking, laboratory data, report generation, scientific review, and secure delivery into one coordinated workflow for Theriome's practitioner ordered metabolomics testing platform.
Problem
Manual reconciliation across disconnected tools as testing volume grew, with no unified view of where each case stood.
Outcome
One production workflow carrying each test from practitioner order through analysis, scoring, scientific review, and secure report delivery.
Measured outcome
~80%
reduction in report generation infrastructure cost
Measured outcome
6
workflow stages connected into one operational system
Measured outcome

formal transition with documentation, runbooks, and credential rotation
Infrastructure cost reduction is approximate and reflects the redesigned containerized report generation architecture compared to the prior approach. Workflow stages counted from practitioner order through approved report delivery. Numbers reflect a single client engagement.
Client perspective
If you want something done correctly, use MatrixFlow.
As AI-assisted and 'vibe-coded' development becomes more common, it can create hidden technical, security, and scalability issues that experienced developers and engineers must resolve. MatrixFlow brought that expertise, responded quickly, and worked through every detail with us until the system met the standard we wanted. Their attention to detail and commitment to getting it right gave Theriome a secure, reliable foundation we can confidently build upon.
Start here
A recommended starting point when the problem is complex or unclear. A focused review of how work actually moves through the organization, useful without being a massive enterprise package.
We do not stop at recommendations.
MatrixFlow can help leadership define how the organization should operate and then build the workflows, reporting, automation, software, data, and infrastructure required to support it.
